Notion Integration: Turn Your Docs Into AI-Powered Support
Published on by Antoni
TL;DR
You can now sync your Notion workspace to FutureBase. Your existing documentation, knowledge bases, and databases become instantly searchable by your AI assistant. No need to maintain a separate knowledge base—just keep using Notion the way you already do.
The Problem with Knowledge Bases
Every support tool asks you to build a knowledge base. Copy-paste your docs. Format everything. Keep two sources of truth in sync. It's tedious, and inevitably the knowledge base drifts out of date while your real docs live somewhere else.
For most teams, that "somewhere else" is Notion.
Notion is where you write product docs, internal wikis, FAQs, troubleshooting guides, and process documentation. It's collaborative, flexible, and already part of your workflow. The last thing you need is to maintain a duplicate copy somewhere else.
So we built a direct integration.
What You Get
Automatic Sync
Connect your Notion workspace once, and your content syncs automatically. Changes you make in Notion appear in your AI's knowledge base within 24 hours—or trigger a manual sync anytime.
Pages and Databases
The integration handles both:
- Pages — Your docs, guides, wikis, and articles
- Databases — FAQ tables, product catalogs, feature lists, and more
Database entries are converted into individual searchable items, so your AI can reference specific rows when answering questions.
Rich Text Extraction
Notion's blocks and formatting are converted to clean markdown. Headings, lists, code blocks, callouts, and nested pages all come through. The structure is preserved so your AI understands context and hierarchy.
Incremental Updates
After the initial sync, only changed content is re-processed. This keeps syncs fast even for large workspaces with thousands of pages.
Flexible Sync Modes
Control what gets synced:
| Mode | Description |
|---|---|
| All Content | Everything accessible in your workspace |
| Selective Sync | Only specific pages and databases you choose |
| Exclude Items | Everything except items you explicitly exclude |
Start broad and narrow down, or start specific and expand—whatever fits your workflow.
How It Works
- Connect via OAuth — Authorize FutureBase to read your Notion workspace
- Select pages — Choose what to share with the integration in Notion's permissions
- Configure sync — Pick your sync mode and any exclusions
- Initial sync runs — Content is extracted, converted to markdown, and embedded for semantic search
- Automatic updates — Changes sync every 24 hours (or on-demand)
Your AI assistant can now answer questions by searching your actual Notion content.
What Gets Synced
Included:
- Page titles and full content
- Rich text formatting (headings, lists, code, etc.)
- Nested pages and hierarchies
- Database entries (as individual items)
- Page metadata (dates, properties)
- Cross-references and internal links
Not included:
- Images and media (referenced but not stored)
- Comments and version history
- File attachments
- Live embeds
- Notion formulas (synced as static values)
Security
Your Notion data is handled carefully:
- OAuth authentication — No passwords stored, standard Notion OAuth flow
- Read-only access — We never request write permissions
- Encrypted tokens — OAuth credentials encrypted at rest with AES-256-GCM
- Permission-based — Only pages you explicitly share are accessible
- Instant revoke — Remove access in Notion or disconnect from our dashboard anytime
Real-World Use Cases
Product documentation: Your public docs live in Notion. Sync them so customers get instant answers about features, setup, and troubleshooting.
Internal wikis: Support teams can answer questions using internal process docs without needing to search manually.
FAQ databases: Structured Q&A in a Notion database becomes directly searchable by your AI.
Release notes: Keep your changelog in Notion; customers asking "what's new?" get accurate answers.
Onboarding guides: Step-by-step setup docs sync automatically as you update them.
Best Practices
Organize for clarity
- Use descriptive page titles (they're searchable)
- Structure content with headings
- Keep pages focused on single topics
Write for AI
- Complete sentences over bullet fragments
- Include context—assume the reader doesn't know the page title
- Link related pages together
Sync strategically
- Start with customer-facing docs
- Exclude internal-only or sensitive content
- Archive outdated pages in Notion (they'll be removed on next sync)
Getting Started
Setup takes about 5 minutes:
- Go to Integrations in your FutureBase dashboard
- Click Connect on Notion
- Authorize access and select pages to share
- Configure your sync mode
- Wait for the initial sync to complete
For detailed instructions and troubleshooting, check our Notion Integration documentation.
What's Next
Based on your feedback, we're planning:
- Real-time sync — Faster updates when Notion adds better webhook support
- Bi-directional sync — Push conversation insights back to Notion (optional)
- Database filters — Sync only rows matching specific criteria
- Multi-workspace — Easier management for teams with multiple Notion workspaces
